Keeping up
While you still send from Klaviyo, Klaviyo keeps collecting new people, new unsubscribes and new history. Import what’s new imports what is new over there. Choose what to import… imports one kind of thing. Neither one ever undoes your work in Carpe Messaging, and nothing imports by itself.
Keeping up while you send from both
Once your first import has finished, open Your Klaviyo account at the bottom of the import page. Import what’s new there imports everything that's new in Klaviyo since your last import, and runs only when you press it. Nothing keeps the two in step on its own.
Beside it is the Choose what to import… button, and above them the date you last imported. You can import what's new every week, once at the end, or never.
Press it before you send, not after. Between two imports, somebody can unsubscribe in Klaviyo, and Carpe Messaging goes on reading them as subscribed until your next import. So during the weeks you send from both, press Import what’s new before each send.
Nothing travels the other way. Klaviyo never learns about an unsubscribe recorded in Carpe Messaging, because Carpe Messaging only reads from Klaviyo. While both are live, export your do-not-mail file from Audience → Exports and upload it to Klaviyo whenever you import what's new. It is the second of the two files every export gives you.
The one rule
Every import after the first follows one rule, and the screen says it in one sentence: "Importing again only adds what is new in Klaviyo. Anything you deleted, changed, removed or archived in Carpe Messaging stays the way you left it."
It holds for Import what’s new, for Choose what to import…, for the final import of what's new on the checklist, and when you connect the same Klaviyo account again. The check for late unsubscribes is the one press that does something else: it only lowers consent, and changes nothing more.
Here is what that means for each kind of thing:
| Kind | A later import adds | A later import never |
|---|---|---|
| Profiles | People new in Klaviyo, with their fields, properties and consent | Brings back a profile you deleted in Carpe Messaging |
| People already imported | A location, for somebody with none | Changes their name, phone number, birthday, fields or properties |
| Consent | An unsubscribe, a spam report or a bounce, by the newer-choice rule below | Subscribes somebody who said no in Carpe Messaging |
| History | Events since your last import, for every metric — including metrics Klaviyo started recording after your first import | Imports a metric you removed |
| Lists | Lists new in Klaviyo, and people who joined a list you have | Re-adds somebody you removed from a list, or touches a list you archived |
| Segments, templates and automations | The new ones you check | Brings back one you deleted or archived, or overwrites one you changed |
| Images | Images in your Klaviyo library that are not imported yet | Brings back an image you deleted |
| Back in stock sign-ups | Sign-ups still waiting | Reopens a request your store closed |
A profile you deleted stays deleted. Every profile you have deleted in Carpe Messaging is kept out of every later import from Klaviyo, for as long as your store has its account — whether or not you checked Never let these addresses back. The import's report gives each one the reason You deleted them in Carpe Messaging. It never stops a person who comes back on their own: if they place an order or sign up on one of your forms, they are a new profile, and a later import treats them like anybody already in Carpe Messaging.
The people already imported keep what you gave them. If you deleted a field or changed a value, it stays the way you left it, and so do their name, phone number and birthday. A catch-up fills in only what is missing: a location for somebody who has none, and a phone number for somebody who agreed to texts in Klaviyo and has no number in Carpe Messaging — unless a team member removed it, or another profile already has that number.
History arrives for new metrics too. If Klaviyo started recording a metric after your first import, a catch-up imports its history from your last import on. A metric you removed on Analytics → Metrics imports nothing, whatever the press.
Lists grow, and never shrink or come back. A catch-up imports a list made in Klaviyo since your last import, and adds the people who joined a list you already have. Somebody you removed from a list is never added back to it. A list you archived is never imported a second time and takes no new members. An import never removes anybody from a list.
An image you deleted stays deleted, even after it has left Recently deleted. The one way it can return is inside a template you import later that uses it.
The newer choice wins
An unsubscribe in Klaviyo never undoes a sign-up the person made more recently in Carpe Messaging. When the two can be put in order, the more recent choice is kept; when they cannot, the unsubscribe wins. Spam reports and bounces apply whatever the date.
Say your last import ran on a Monday. A person unsubscribes in Klaviyo on Tuesday, then signs up again on your store's form on Thursday, and you catch up on Friday: they stay subscribed, because the newer choice is theirs.
A sign-up in Carpe Messaging counts only when it carries its own date, so it can be shown to come after the unsubscribe. These do:
- a sign-up on one of your store's forms;
- pressing Resubscribe on the page an unsubscribe link opens;
- texting START to your store's number;
- checking the box at checkout, or any email consent Shopify recorded with its own date. Shopify does not say who changed a consent, so a consent you set for a customer in your Shopify admin counts too;
- a sign-up in Klaviyo that you imported with its date — on a Klaviyo sign-up form, on Klaviyo's preference page, or through Klaviyo's own Shopify connection;
- a consent a team member recorded by hand on the profile, after they confirmed the person agreed. It is dated the moment they recorded it. An unsubscribe in Klaviyo dated after that lowers it again; one dated before it leaves it alone.
Every other consent cannot be shown to be the person's newer choice, so the unsubscribe wins over it: a Shopify consent with no date of its own, a file you imported (even one with consent dates — a file is your record, not the person's choice), a list you uploaded into Klaviyo, a consent with no consent date, a date you gave with Confirm where they came from, a text-message consent imported from Klaviyo, and a bounced address an owner released. A consent date later than the day you import is not a date at all.
An unsubscribe Klaviyo recorded with no date always wins, because it cannot be shown to be older. When the two dates are the same, the sign-up in Carpe Messaging is kept. A spam report or a bounce marks the address Do not email whatever the date, because a spam report means never send again.
An imported unsubscribe is passed on to your Shopify store, as any unsubscribe in Carpe Messaging is — except on an address whose bounce an owner released, when the unsubscribe is not newer than the release. There, the address is unsubscribed in Carpe Messaging and Shopify keeps its own reading.
Import what’s new
Import what’s new opens a preview first, and nothing starts until you press Import what’s new inside it. The preview says what it will add, what it will update, and what it will not touch in Carpe Messaging, with exact numbers wherever they can be had quickly.
The preview is headed Import what’s new from Klaviyo and opens with the moment it counts from — Imports what changed in Klaviyo since Oct 21, 9:40 AM. — and the rule. Then three parts:
- Will add. People who joined or changed in Klaviyo since then, their email history since then (for the metrics you have and any new in Klaviyo), the new lists, segments, templates and automations by name and number, and the unsubscribes, bounces and spam complaints since then. People and history are described in words rather than counted, because counting them would mean reading them all; the report gives the exact numbers afterwards.
- Will update. Shown only when you check Replace mine with Klaviyo's or Import again as a new copy on something (below).
- Will not touch, in Carpe Messaging. Read from your own store, so it is exact: the profiles you deleted, the fields and properties of everyone already imported, the segments and templates you changed, the lists you archived, the metrics you removed, and anyone you re-subscribed in Carpe Messaging after they unsubscribed in Klaviyo.
How long it takes. If you have imported what's new before, the preview says roughly how long the last one took — Takes about 20 minutes. — because that is the best estimate there is. The first time, it gives no number. You can close the page either way.
Import what’s new is the owner's, and it opens once your first import has finished. Only one import runs at a time, so it waits while another is running.
Choosing what comes in
Choose, beside a line of new lists, segments, templates or automations, opens the names under that line, each with a checkbox and a marker saying where it stands:
- New in Klaviyo — not imported yet. It starts checked. An automation starts checked whether it is live, draft or manual in Klaviyo, and arrives as a draft. A template not made or changed in Klaviyo in the last year, or that uses fields from another app, starts unchecked, and its line says why. Leave the list as it is and those go straight to your archive; change it and only the ones you checked are imported.
- Already in Carpe Messaging — imported before and unchanged since. It starts unchecked. Check Import again as a new copy to import Klaviyo's version beside yours, with
(imported)on the end of its name. - Changed in Carpe Messaging — yours is kept — you edited it after it was imported. It is never overwritten. You can still import Klaviyo's version as a separate new copy.
- Deleted in Carpe Messaging — you deleted or archived it. It starts unchecked and is never brought back unless you import it as a new copy.
Replace mine with Klaviyo's puts Klaviyo's version in place of yours, and only for something you have not changed in Carpe Messaging since it was imported. For a template, it replaces the design you edit and send; the copy of Klaviyo's original that came with the first import is kept as it was. For an automation, it works only while the automation is still a draft you have not changed — never on one you have enabled.
Unchecking never deletes anything in Carpe Messaging. An unchecked line is simply not imported.
A list over ten names has a search field above it. Type part of a name and only the matching names are shown; your checks are kept while a name is out of view.
What arrives
Importing what's new runs the same steps as your first import, in the same order — unsubscribes before anybody's sign-up, so a later sign-up in Klaviyo never subscribes somebody who said no in Carpe Messaging. Every segment it imports wears the Imported label. Every automation arrives as a draft, and nothing sends until you enable it. When it is done, Past imports gains a row for it, and Your Klaviyo account says when you last imported.
Choose what to import…
Choose what to import… imports one part of your Klaviyo account and reads nothing else. It is for when you want one thing — waiting back in stock sign-ups, say — and not everything that's new. Pick the part, read its preview, and press Import.
It opens Choose what to import from Klaviyo: "Choose one type of Klaviyo data to import. Nothing else is read." The choices:
- Back in stock sign-ups — sign-ups still waiting from the last 180 days. It waits until your email history has finished importing, because it reads the emails Klaviyo sent after each sign-up.
- New lists and list members — lists made in Klaviyo since your last import, and new people on the lists you have in Carpe Messaging.
- Segments — new ones, or one you pick by name to import again.
- Templates — new ones, or one you pick by name to import again.
- Images — images in your Klaviyo library that are not imported yet.
- Automations — Klaviyo flows not imported yet, or one you pick by name to import again. They arrive as drafts.
- Unsubscribes only — unsubscribes, bounces and spam complaints. Changes nothing else. It is the same check as Check for late unsubscribes on the Finish step.
Each choice opens its own preview, with the same rule and the same Will add and Will not touch parts, and the same Choose for the kinds that have names. Back in stock sign-ups, for example, reads Will add: Sign-ups still waiting from the last 180 days. and Will not touch: Anything else.
Choose what to import… sits beside Import what’s new in Your Klaviyo account, so it opens once your first import has finished, and it is the owner's.
When an import of what's new stops
An import of what's new that stops says so on the page, and everything it imported before it stopped is kept. Continue picks it up again; when it cannot pick up, the button reads Import what is left and starts another one instead.
It waits and tries again by itself when Klaviyo does not answer, for hours, before it stops and asks for you. The Running the import chapter explains the waiting, which works the same way for every import.
Check for late unsubscribes and Unsubscribes only are different: when one stops, press it again. It reads everything from the start, and running it twice changes nothing the first run already did.
Connecting the same account again
If you remove your Klaviyo API key and later connect the same Klaviyo account again, Carpe Messaging picks up where you left off. Once your first import had finished, it still counts as done: Import what’s new imports what is new since your last import, and nothing already imported is walked again. If it had not finished, the Import step is where you continue.
A different Klaviyo account is a fresh start: it has its own first import, and nothing you said about the first account's lists carries over to it.
Once you have finished moving off Klaviyo, connecting the same account again is more limited, because Klaviyo then shows nearly everyone as unable to receive email. The Finishing the move chapter explains what you can still import.
